Moving notes is like moving house: you find out what you own. Twelve years of Evernote, a Notion workspace nobody has opened since the reorganisation, a folder of Markdown files from a tool that shut down. Some of it matters. Most of it is boxes you never unpacked last time.
Kartoteq imports Evernote ENEX, Markdown ZIP and exports from Notion and OneNote, and shows you a report of what came through. Bring a small notebook first, look at the result, then bring the rest. And keep your original export somewhere safe; we would.
After the boxes are in
An archive becomes useful when it is attached to something you are doing now. Open one current project, find the three old notes that speak to it and link them. Search works across everything, including the text inside PDFs, so you do not have to re-file twelve years by hand. And the door stays open: HTML, Markdown, PDF or a ZIP of the whole account, whenever you want it.
Make an export and put it somewhere safe
Export from your current app and keep that file untouched. Evernote ENEX and Markdown ZIP are the formats we describe in detail. Exports from Notion and OneNote are supported in the formats those apps produce, but check a sample first, because each of them loses something different.
Do not delete anything in the old application yet. The move is finished when you have found a few old notes in Kartoteq without thinking about it, not when the import bar reaches the end.
Import twenty notes, not two thousand
Pick notes that are awkward on purpose: one with a table, one with images, one with an attachment, one with links to other notes, one with a checklist. Import them and open the report Kartoteq shows at the end.
Oleg, who moved 1,800 notes from Evernote, found this way that his handwritten scans came through as images without text search. He decided that was fine for old meeting notes and ran OCR only on the twelve scans he still used. Ten minutes on a sample saved him an evening.
Compare meaning, not pixels
Open three or four imported notes next to the originals. Formatting may differ a little; that is expected. What matters is whether the tables still have the right columns, the attachments open and the internal links lead where they should.
We do not promise a lossless import for every format, and we would rather say that here than in a support ticket. If a block type is not supported, it arrives as plain text with a note in the report, so you can find and fix those places later.
Rebuild the structure around today’s work
Old notebooks reflect old projects. After the full import, create a notebook for what you are doing this month and move the relevant notes into it; leave the rest in an archive stack. Tags from the old app are kept, but you will probably want fewer of them.
This is also a good moment to write a short “Start here” note at the top of the active notebook: what the project is, where the sources are, what has been decided. Future you will be grateful.
Your notes stay yours, and you can leave
Kartoteq exports to HTML, Markdown, PDF and a ZIP of the whole account. Make a full export once a quarter and keep it somewhere outside Kartoteq. We think a note app that makes leaving hard is a note app you should not trust with ten years of notes, and that includes us.
