Save the page, the email and the chat into one place

From the browser, from your inbox, from your phone: everything lands in a notebook with a line about why you kept it.

Marta teaches history to eighth-graders and prepares her lessons in the evenings. Material comes from everywhere: an article in the browser, a museum newsletter in her inbox, a photo of an exhibition display on her phone, a paragraph from a chat with AI. It used to settle in bookmarks, in the “saved” folder of a messenger and in a folder called “Misc”.

For the lesson on medieval towns she found only half of what she had put aside. The other half was somewhere.

Everything arrives in one place

Now Marta does not think about where to put things. From the browser, from email, from the phone, material lands in Kartoteq, and she sorts it once a week, on Sunday, with a cup of tea. It takes about twenty minutes.

One line that changes everything

The main thing she learned: write down why you saved it. “Map for the argument about town size” means more two months later than the screenshot of the map itself. Without that line the material turns back into a pile.

The old archive moved house

Eight hundred notes from eight years came over from Evernote. Not everything moved perfectly; a couple of tables had to be fixed by hand. But this year the lesson on medieval towns came together in one evening, out of material Marta had been putting aside since 2019.

A folder called “Misc” is something almost everyone has.

Clip the page from the browser

The web clipper saves a page or a selected fragment into the notebook you choose. Marta, a history teacher, is preparing a lesson on medieval towns. She selects three paragraphs of an article and sends them to the notebook “Lesson 7”, with the page address and the date.

Add one line: why you saved it. “Example for the argument about town size” helps more than the fragment itself. How the clipper is set up depends on your browser; the details are on the import page.

Forward an email into the notebook

Your account has an incoming address. An email sent there becomes a note, and attachments stay attachments. Marta forwards the museum newsletter with the programme of guided tours.

The subject line becomes the title, the body becomes the note. Later you can move the note into the right notebook and add your own words.

Send it from your phone through Telegram

The Kartoteq bot accepts text, links and photos. On her way home Marta photographs a display in the museum and sends it to the bot with the caption “for lesson 7”. In the morning the note is already in the notebook.

This is the shortest route from a phone while there is no mobile app. Connecting the bot needs setup; check the instructions inside the app.

Bring the archive over from another app

Import understands Evernote ENEX, a ZIP of Markdown files, and exports from Notion and OneNote. Marta moved 800 notes from three years of work out of Evernote. After an import it is worth walking through the result: some formats come across with losses, and that is visible.

For the first time take one notebook, not everything at once. Check the attachments, tags and links, then move the rest.

Turn the pile into material for a lesson

Saving is easy; coming back is harder. Once a week Marta opens the notes that arrived and sorts them: into the lesson notebook, with the topic tag, with a link to the question they answer. What turned out useless goes to the trash.

That is how a collection becomes a working one. And if you ever need to take everything back out, export gives you the notes as HTML, Markdown, PDF or a ZIP of the whole account.
